Dear All,

As an institution that is open to new ideas and modern solutions, the University of Social Sciences and Humanities evolves for its students, faculty and administrative staff. On the 20th of August, 2013, SWPS will launch a new mail system powered by Google. The new Google mail system provides modern and practical solutions already available at universities worldwide, i.e. video calls, shared documents, and group calendars.

The new e-mail service will render work in the academic environment easier and more efficient thanks to higher capacity, smoother connection with mobile devices and more powerful antivirus and antispam protection. Below, you will find a discussion of new functionalities provided by Google and answers to frequently asked questions. Should you have any questions, please contact the IT department via email or phone.

30 GB for everyone

A typical email account will expand 50 times on average. Every student, lecturer or SWPS staff member will receive 30 GB of space in their mailboxes and Google Drive.

No Internet connection

Working offline is possible with Google Chrome and an appropriate plugin.

How to import old e-mails into the new e-mail service?

In order to import your e-mails from the old service, you will need to install a synchronization application and use the new functionalities. For more information on the programme configuration go to Help.

Access from every device

The new e-mail service is equipped with the Calendar, which can be accessed from any device, whether it is an office computer, a home computer, a phone or a tablet.

Sharing the Calendar

You can invite other people to events in your Calendar.

Permission settings

It is possible to grant varying permissions for specific users to have access and see particular events in the Calendar, as well as to make changes to the Calendar.

  • inviting participants of an event from outside the organization

Google Drive

Access from all your devices

  • Accessing documents from your e-mail anywhere you are and using any mobile device
  • Sharing any document with other users for remote group work
  • Creating a Google Drive folder on your computer. Changing a file on the web, on your computer, or on your mobile device updates it on every device where you’ve installed Google Drive.

Lots of storage

  • Unlimited storage space for files created with Google tools
  • 30 GB of storage for files created with tools other than Google’s (e.g. Microsoft Office and other).

Creating documents online

  • Creating documents using Google tools and downloading Microsoft Office and Open Office documents
  • Standard file types: text editor, spreadsheet, applications to create presentations, research, surveys or to draw
  • Sharing documents (even with those who do not have a Google account)
  • Co-creating documents in real time; many users may work on one document at the same time and be up to date with changes currently introduced.


Private video calls (with up to 15 users)

Live chats with up to 15 people are a solution for those who need to discuss or consult something in a group. Those who have a webcam connected are visible to the participants of the live chat. Those who have a microphone connected can participate in a discussion. Additionally, you can include work live on shared documents, e.g. in GoogleDocs. This solution was tested in SWPS. It works fine, but requires getting accustomed to it.

Public live video broadcast (unlimited users)

Live broadcasting is a solution for those who want to reach an unlimited number of users through the Internet with their speech or live lecture.

Note: Public live broadcast is available to all Internet users; it is not possible to limit access to a selected group. After the live broadcast is over, a recording appears on Youtube and Google+ with a possibility to limit access to it manually.

To whom and for what do we recommend this solution?
  • For broadcasting open lectures to promote science (popularization of science)
  • For broadcasting academic events on the Internet by Research Groups

Anyone can create their own site without knowledge of programming techniques.

Why are we changing our e-mail service?

The university expands into new technological capabilities. The most conspicuous change will be the e-mail service; however, what will significantly influence the quality of work and study is the provision of new functionalities, which will support work of many students, teachers and staff.

  • Increasing mailbox capacity to 30 GB
  • Expansion into new media – the ability to receive e-mails via mobile applications, chats, video conferences
  • More effective anti-spam and anti-virus protection
  • Sharing the Calendar and documents with selected users

Why does my login not work at or

Usually SWPS mailbox users have a couple of e-mail aliases including either their full first name or the first name initial ( and You have to log in using the shorter alias, i.e. If you still cannot log in, please contact our IT Department.

Can I still use my mailbox even if I have not followed the steps included in the last e-mail (a pdf link)?

No. All new messages will arrive in a mailbox available at or If you use Outlook or Thunderbird, it needs configuring first. You will find out how to do it below.

Yes. You can be notified about the incoming mail in two ways:

Mail - offline access

I usually use Outlook or Thunderbird. Can I still use an external mail program?

Yes, it is still possible. Remember, however, that when using mail programs other than the mail application available on Google Chrome, you lose some functionalities of the new e-mail service, e.g. chat or message threads.

How can I access my old e-mail service (old e-mails)?

After 20 Aug 2013, it is enough to go to and provide the following data:

  • Login:, or
  • Password: current password

Once you are logged into this page, you will be able to view your old messages and use all old mail functionalities. The old mail service will be available for one year, through 20 Aug 2014. A link to the old mail service will be available in the new service as well.

How can I move the whole mail content or selected e-mails into the new e-mail service?

We encourage you to review your mailbox content prior to moving it. It may not be necessary to move all e-mails.

You can do that in the following ways:

  1. Moving selected e-mails:
    • It can be done by selecting and moving groups of e-mails with the use of Google Apps Sync tool
    • The easiest way is to log into your old mail account at and provide the following data:

If I change my mail password, does it mean that the password to other SWPS services will be changed automatically?

Yes. Your password to all SWPS services will change automatically anytime you change your password on any of our websites or services, e.g. Virtual University, Dorobek Naukowy, Mantis…).

Does migration to Google mean that my e-mail domain will change into

No, the current e-mail address will remain unchanged.
